1. Introduction
This Privacy Policy describes how AudioScribe ("we", "us", "our") processes information when you use our Service to upload audio and receive transcriptions and summaries.
2. Information We Collect
2.1 Account & Authentication & Billing
Email address and password hash (or OAuth identifier), optional display name/avatar.
If you subscribe to a paid plan, our payment processor (Merchant of Record) collects and processes your payment information directly. We do not store your full credit card details on our servers.
Registration is required before starting a transcription job.
2.2 Usage & Device Data
IP address, user agent, device/OS, timestamps, pages visited, referrer, and error/latency metrics.
Duration of audio processed ("Usage Data") to support billing and refunds, including the usage-fee calculation (currently $0.035 per processed minute) outlined in our Terms of Service.
Used for security, reliability, basic analytics, and the billing/refund purposes noted above. No advertising or marketing tracking.
2.3 Audio Content
Audio you upload and transient transcripts/summaries generated for display.
Processed in real time and deleted immediately after results are shown. We do not keep a database of audio, transcripts, or summaries after processing completes.
We do not use your Audio Content to train models.
If you choose to export, sync, or send outputs to third-party destinations you connect (e.g., Notion, Zapier, or other apps), those destinations process data under their own terms and privacy policies.
3. How We Use Information
- Operate and deliver the Service (sign-in, real-time transcription & summarization, showing results).
- Maintain security, prevent abuse/fraud, ensure availability.
- Improve performance using aggregated, non-personal telemetry.
- Transactional communications (verification, password reset, security notices).
- Calculate applicable usage-based fees or deductions for refunds/cancellations, based on processed minutes, consistent with our Terms of Service.
- We may also send occasional service-related research invitations (e.g., user interviews or surveys) to improve the Service. You can opt out of research invitations at any time.
4. Sharing of Information
We do not sell your data. We share information only:
- With service providers necessary to run the Service (cloud hosting/CDN, speech-to-text and LLM providers for real-time processing, authentication and transactional email, monitoring/logging, and (if enabled) payment processors). Providers act under contract and process data only on our instructions.
- With third-party destinations you connect (e.g., Notion/Zapier) only at your direction when you choose to export or sync.
- To comply with the law or protect rights, safety, and security.
5. Data Retention
- Audio Content: processed in memory or temporary storage and deleted immediately after results are returned. In rare failure cases a temporary object may persist for up to 60 minutes and is then purged.
- Account & Usage Data: retained while your account is active and as needed for security/legal obligations. Upon account deletion, we remove or anonymize your personal data except where retention is required by law.
- Processed minutes for billing/refunds: we may retain records of total processed audio duration (not the audio or transcripts) for financial auditing, refund calculations, and dispute resolution, even if you request account deletion.
- Research invitations opt-out: if you opt out, we keep a minimal record of your preference to respect it.
- Cookies: only essential session/auth cookies; no advertising cookies.
6. Security
Industry-standard measures (encryption in transit, access control). No method is 100% secure.
7. Children's Privacy
The Service is not intended for children under 16 in the EEA/UK and under 13 elsewhere.
8. International Transfers
We may process and store Account & Usage Data in countries other than where you live. Where required, we rely on appropriate safeguards (e.g., Standard Contractual Clauses and, where applicable, the UK addendum) for transfers.
9. Your Rights
Depending on your location, you may have rights to access, correct, delete, restrict, port, or object regarding your personal data (Account & Usage Data). Because Audio Content is not retained, there is typically no content data to access or delete after processing. Contact support@audioscribe.org.
EEA/UK notice: If you are in the EEA/UK, you may also have the right to lodge a complaint with your local data protection authority and the right to object to processing based on legitimate interests.
U.S. notice (including certain state laws): You may have rights to access, delete, or correct personal information we hold about you. We do not sell your personal information and do not share it for cross-context behavioral advertising.
10. No Marketing
We do not send promotional marketing emails. Transactional messages may still be sent. We may send occasional service-related research invitations (e.g., user interviews or surveys), and you can opt out of research invitations at any time.
11. Changes
We may update this Policy. Material changes will be posted here with an updated date.

13. Legal Basis
